Material Assets – Material Resources Management

A material asset could be defined as any material “thing” necessary to carry out our activities (eg, components, parts, tools, machinery, equipment, work space, etc.). pasted_image

a)Material resources parameters

The main parameters that we need to follow are:

  • categorization (define categories and subcategories as desired)
  • proprieties (define desired proprieties like year of production, model, power,  capacity, etc.)
  • notes (additional text to every single resource as needed)
  • identification (inventory number, serial number, manufacturer, photos)
  • assignment and movements:
    • to a location (external warehouse, different branch)
    • to a project (construction yard, contract number, project location)
    • to an employee (example working shoes, helmet, etc.)
    • to another asset (example fire extinguisher to a vehicle)
  • material resource documentation
    • define desired document types (certificates, traffic permits, manuals, maintenance cycles, etc.)
    • document validity management (date of issue, date of expiry for every document)

a.2)Properties, notes and identification

Let’s consider, as an example, a company that carries out its activities off-site (like a civil works company, installations, transports, etc.) or even just a company that has more branches. This company has lots of proprietary material resources needed to get the job done, like equipment, mechanization, containers, etc., that have to be assigned to different locations (construction yards, plants, branches) or assigned to different employees (like personal protecting equipment, personal tools), some of them even assigned to different assets (like first aid kits, fire extinguishers, generators, compressors, assigned to a vehicle, or air pipes assigned to a compressor etc.).  When an employee or an asset of this kind (an assembled asset) get moved to another location, all the assigned assets to that particular asset are moved at the same time. pasted_image002

a.3)Documents

Management of the so called “Technical Bureaucracy” related to the assets. For example, we can just define something like invoice, traffic permit, declaration of conformity and so on as the document type and in the field labeled document we can put an ID to that particular document, like document number or other specific data of that particular document (that is part of the document group defined in document type). There are fields Date of Issue and Date of expiry to manage the document related deadlines, and the Print Report trigger which prints a Summary of the documents that are going to expire in the defined period. With the native Document Management module integrated we can also attach the files (scans) relative to the described documents.
